Privacy Notice
Sequence/OS
1. Who we are
This notice is issued by Sequence/OS ("we", "us", "our"), the data controller for personal data you provide when you use the Sequence/OS Service.
2. Data we collect
- Account data - name, email, login credentials, profile details.
- Content data - the class sequences, notes, and any content you create or publish within the Service.
- Usage data - pages visited, features used, device and browser info, IP address, timestamps. Used to keep the Service running and improve it.
- Support data - messages you send us for help, and our replies.
- Payment data - handled directly by Stripe (our Merchant of Record). We only receive the subscription status, plan, and a Stripe customer/subscription reference - not your full card details.
3. Why we use it
- To create and manage your account (contract performance).
- To provide the Service and features you use (contract performance).
- To keep the Service secure and prevent fraud or abuse (legitimate interests).
- To improve the Service and understand how it's used (legitimate interests).
- To respond to your support requests (contract performance).
- To comply with legal obligations (e.g. tax, accounting) (legal obligation).
4. Who we share it with
- Stripe - our Merchant of Record, for the sale of subscriptions, billing, tax compliance, invoicing, fraud protection, and refund handling.
- Infrastructure providers - hosting, database, and analytics services that power Sequence/OS.
- Email delivery provider - SendGrid (Twilio), which sends booking confirmations, class notices and the marketing emails teachers write.
- Professional advisers - legal, accounting, and audit advisers where necessary.
- Authorities - where we are legally required to disclose data.
We do not sell your personal data.
5. Retention
We keep account and content data for as long as you have an active account. After you close your account, we delete or anonymise personal data within a reasonable period, unless we are required to keep it longer for legal, tax, or accounting reasons.
6. Your rights
Subject to your local law, you have the right to access, correct, delete, or export your personal data, and to object to or restrict certain uses. To exercise any of these rights, email us at hello@sequenceos.app. If you're in the UK or EEA, you can also complain to your local data protection authority.
7. International transfers
Some of our providers process data outside your country. Where required by law, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.
8. Security
We use industry-standard technical and organisational measures - encryption in transit, access controls, and least-privilege backend access - to protect your data. No system is perfectly secure, but we take our responsibility seriously.
9. Cookies and advertising measurement
We use essential cookies to keep you signed in and remember your preferences.
We also advertise Sequence/OS on Google, and we measure which adverts lead to a free trial signup. To do that we use Google Ads cookies and send Google a signal when a new account is created (the fact of the signup, not your class content). The data recipient is Google Ireland Limited and its affiliates, and the purposes are measuring and optimising our adverts. Google explains how it handles this data at business.safety.google/privacy.
In the UK, EEA, Switzerland and Quebec these advertising cookies are only used if you accept them on the cookie banner, and nothing advertising-related is set until you choose. You can change or withdraw your choice at any time using the Cookie settings link on the site, and rejecting is as easy as accepting. We do not send Google your email address or other identifying details for ad matching.
10. Bookings: teachers and their students
Where a teacher uses Sequence/OS to take class bookings, the teacher is the data controller for their students' information and Sequence/OS acts as their processor. We process that data only to run the booking, payment and email features on the teacher's behalf.
- Booking data - student name, email, the classes booked, payment status and any message left at booking.
- Health information - answers a student gives on a health form. This is sensitive data, collected with the student's consent so the teacher can teach them safely. It is stored encrypted, is visible only to the teacher the student booked with, and every access to a form is logged. Teachers set how long forms are kept and can action a deletion request.
- Marketing data - mailing list membership, the date and source of consent, and unsubscribe status. Unsubscribing takes effect immediately and is honoured across all later sends.
- Payment data - card payments for classes are processed by Stripe under the teacher's own Stripe account. We receive payment status and references, never full card details.
Students who want their information corrected or deleted should contact their teacher first. You can also email us at hello@sequenceos.app and we will pass the request to the teacher and act on it in our systems.
11. Public booking pages
A teacher's booking page is public if they choose to publish it, and is included in our sitemap for search engines if they mark it as listed. It shows only what the teacher puts on it: their business name, photographs, description, links and classes. Student names and bookings are never shown publicly.
